What is Cloud-Crewing?
Cloud-Crewing is the operations platform purpose-built for maritime crewing agencies. One system runs the complete agency workflow — from the initial job request through crew placement, digital confirmation, work-day tracking, invoicing, and payment.
What is the full workflow, from request to payment?
The system follows the real agency process:
- Job request — capture position, vessel, dates, rate and required certificates.
- Placement — match a qualified crew member and configure client rate plus the crew payment side.
- Digital confirmation — client and crew confirm online via a secure link; the signed document is stored automatically.
- Work days — log regular days, overtime, sick, vacation; statements stay aligned with the assignment.
- Invoicing — cost items flow from the assignment to client invoices using each client’s grouping rules.
- Payment — pay the crew member directly or hand off an immutable gross-pay statement to your payroll provider or supplier, with transparent corrections on the next period.
Which employment and payment models does Cloud-Crewing support?
All three models coexist in one record per crew member, configurable per assignment:
- Self-employed (ZZP / freelance) — pay the crew member directly with the right supplier agreement.
- Direct employment — full payroll integration with statement output that feeds your payroll calculations.
- Via another agency (supplier) — the crew is supplied by a third party; Cloud-Crewing handles the supplier invoice and your margin.
The same crew member can be billed and paid under different models on different assignments without duplicating data.
Does Cloud-Crewing calculate payslips?
No. The payslip itself is calculated outside Cloud-Crewing — by your accountant or payroll provider. What Cloud-Crewing produces is the gross input for that calculation: work-day statements per period covering regular days, overtime, sick, vacation and the agreed rate or wage components, ready to hand off or push via integration. Once issued, statements are immutable; corrections to past periods appear on the next statement with the reason recorded, so the audit trail stays intact.
Which integrations does Cloud-Crewing support?
Cloud-Crewing plugs into the tools you already use:
- Direct email integration — confirmations, invoices, reminders and document deliveries go out through your own email provider, on your own domain (no third-party “noreply” address).
- Bookkeeping integrations — invoices and payment data flow directly into common accounting platforms, so your books stay in sync without copy-paste or CSV gymnastics.
- E-invoicing — Peppol BIS 3.0 UBL XML attached to every invoice for direct ingest by your client’s accounts payable.
- Secure document storage — files stored in private Digital Ocean Spaces with short-lived presigned URLs.

How is Cloud-Crewing different from generic HR software or spreadsheets?
Generic HR tools are built for Monday-to-Friday office work. Cloud-Crewing handles multi-country operations (NL, DE, BE and beyond), mixed employment types in one record, context-aware certificate requirements (per rank, vessel type, waterway), and immutable gross-pay statements that feed your existing payroll. Spreadsheets don’t handle confirmations, invoicing or accounting hand-off; Cloud-Crewing does, and integrates directly with your bookkeeping platform and email.
Do my crew and clients need accounts?
No. Digital confirmations work via a secure link — no login, no app, no account. Clients and crew click the link, review the assignment document, and confirm. The signed document is automatically stored against the assignment with a full audit trail.
What languages does Cloud-Crewing support?
The full system runs in English, Dutch and German. Each user picks their own language. The external confirmation portal auto-detects the recipient’s language preference.
